Privacy Policy

HireAssist is a hiring platform operated by BDA Technologies Private Limited (“BDA”, “we”, “us”), a company incorporated in India. This policy explains what personal data we handle at hireassist.org and app.hireassist.org, why we handle it, who we share it with and what rights you have. It is written for three groups of people: employers who create an organisation on HireAssist, the team members they invite, and candidates who apply through a HireAssist career page.

1. Who is responsible for your data

For employer accounts, team members and visitors to our websites, BDA decides how and why personal data is processed, so BDA is the data fiduciary under the Digital Personal Data Protection Act, 2023.

For candidate data, the employer who posted the job decides which roles to advertise, which questions to ask, which thresholds to set and what happens to each application. The employer is therefore the data fiduciary for candidate data, and BDA processes that data on the employer’s behalf as a data processor. If you are a candidate and want to know how a particular employer uses your application, contact that employer first; their details are on the career page you applied through.

2. What we collect

From employers and team members

  • Account details: name, work email address, password or sign-in token, role within the organisation, and the organisation’s name, slug, logo, subdomain or custom domain.
  • Billing details: GST registration details, billing address, and records of credit packs bought and credits spent. Card and bank details are entered directly with our payment processor, Chargebee, and never reach our servers.
  • Content you create: job descriptions, quiz questions, video interview questions, email templates, notes, tags, interview scorecards and the settings you choose for each job.
  • Communications: emails sent to candidates from HireAssist, and, where you connect a mailbox, replies tracked back to the candidate record through IMAP.
  • Usage data: pages visited, actions taken in the product, device and browser type, IP address and approximate location, collected through server logs and, where enabled, an analytics tag.

From candidates

  • Application details: name, email address, phone number, resume or CV and anything else the application form asks for.
  • Assessment data: answers and scores from skills quizzes, video recordings, their transcripts, and AI-generated evaluations, strengths, concerns and summaries.
  • Scheduling data: the interview slot you pick and the calendar invitation generated for it.
  • Status and access data: the status link and magic link used to track an application, and the times they were opened.

From visitors to hireassist.org

  • If you book a demo, the name, company, email address, phone number and hiring volume you enter in the form.
  • Server logs and, where enabled, analytics data as described above.

3. Why we use it

  • To provide the service: publishing career pages and jobs, receiving applications, scoring resumes against job descriptions, generating and grading quizzes, transcribing and evaluating video answers, booking interviews, sending emails and notifications, and keeping the candidate pipeline up to date.
  • To run your account: signing you in, enforcing roles, metering credits, issuing GST invoices and providing support.
  • To improve and secure the service: diagnosing errors, preventing abuse and fraud, and understanding which features are used.
  • To respond to you: answering demo requests and support messages.
  • To meet legal obligations, including tax and accounting rules in India.

We do not sell personal data, and we do not use candidate data to train AI models for other customers or for anyone else.

4. Automated screening and scoring

HireAssist uses AI models to parse resumes, compare them with the job description, generate and grade quizzes, transcribe and evaluate video answers, and combine these into an overall score. By default a candidate’s overall score weights the resume match at 50%, the quiz at 30% and the communication score from video answers at 20%. Employers can set thresholds at which candidates move to the next stage automatically, and can change or disable those thresholds for each job.

Scores are a tool for the employer, not a decision made by HireAssist. Every score is visible to the employer alongside its reasoning, employers can advance or reject any candidate regardless of score, and when the AI cannot evaluate an answer the employer is asked to review it by hand. If you are a candidate and believe a score is wrong, contact the employer, who can re-run an analysis or review your application manually.

5. Who we share data with

We share personal data only with the parties needed to provide the service:

  • The employer whose job you applied to, who sees everything in your application and assessment.
  • Service providers that process data for us under contract: cloud hosting and storage, AI model providers used for parsing, scoring, transcription and evaluation, email delivery, and Chargebee for payments. These providers may process data outside India; where they do, we rely on their contractual commitments to protect it.
  • Google, when an employer connects Google Calendar and Meet to book interviews, limited to the data needed to create the event.
  • LeadConnector, which stores demo requests submitted on hireassist.org so our team can follow up.
  • Authorities, where the law requires it, or professional advisers where needed to protect our rights.
  • A buyer or successor, if BDA or the HireAssist product is sold or merged, in which case this policy continues to apply to the data transferred.

6. Cookies and similar technologies

app.hireassist.org uses cookies that are strictly necessary to keep you signed in and to protect your session. hireassist.org may load an analytics tag to understand how the site is used; you can block it with a browser extension or your browser’s tracking settings without affecting the site. We do not use advertising cookies.

7. How long we keep data

  • Candidate data stays in an employer’s organisation for as long as the employer keeps it. Employers can archive or delete candidates at any time.
  • Account data is kept while the organisation is active. When an organisation is closed, we delete its data from active systems within a reasonable period and from backups as they rotate.
  • Billing records are kept for the period required by Indian tax law.
  • Demo requests are kept until the enquiry is closed or you ask us to delete them.

8. Your rights

Under the Digital Personal Data Protection Act, 2023 you can ask for access to the personal data we hold about you, ask for it to be corrected or erased, withdraw consent you have given, nominate someone to exercise these rights for you, and raise a grievance. Employers and team members can do most of this from their account settings. Candidates should contact the employer first, because the employer controls the application; if that does not resolve the matter, write to us and we will help.

To exercise a right or raise a grievance, email Info@bdatechnologies.comwith the subject line “Privacy request”. We respond within the time the law allows. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

9. Security

Data moves between you and HireAssist over encrypted connections. Each organisation’s data is separated from every other organisation’s, access inside an organisation is limited by role, and candidates reach their own data through single-use magic links rather than passwords. Payment card details are handled entirely by Chargebee. Our security page has more detail and explains how to report a vulnerability.

10. Children

HireAssist is for employers and working-age candidates. We do not knowingly collect data from anyone under 18. If you believe a child has applied through a HireAssist career page, contact the employer or us and we will remove the data.

11. Changes to this policy

When we change this policy we will update the effective date at the top and, for material changes, notify employers by email or in the product. The current version is always at hireassist.org/privacy.
